JOB SUMMARY
Reporting to the Human Resources Manager, the Human Resources Assistant (HRA) plays a vital role in supporting the organization’s talent acquisition and onboarding processes. The HRA will coordinate interviews for hiring managers, conduct pre-screening calls when appropriate, and ensure a smooth and welcoming onboarding experience for new hires.
Key responsibilities include processing background checks, verifying references, and coordinating onboarding tasks to ensure compliance and readiness for each new employee. The HRA will also contribute to the development and implementation of effective recruitment strategies aimed at attracting a diverse and highly qualified candidate pool. This includes posting job openings across various platforms and assisting in researching best practices in staffing and recruitment.
The HRA will also handle a range of administrative and clerical responsibilities, such as maintaining accurate personnel records, managing Paid Time Off (PTO) requests, and ensuring HR documentation is complete, organized, and up to date.

QUALIFICATIONS
WORK ENVIRONMENT AND PHYSICAL DEMANDS
This job operates primarily in a professional office environment and routinely requires operating standard office equipment such as computers, phones, photocopiers, and filing cabinets.
Prolonged periods of sitting at a desk and working on a computer. Occasionally works in outside conditions that can include inclement weather, heat and humidity, high noise levels and navigating rough terrain.
Must be able to travel to meetings and events and communicate appropriately with stakeholders. Some evening and weekend hours may be required.

- Coordinate and facilitate all phases of the recruitment and selection process.

f. Monitor and report on recruitment-related expenditures.
- Research, identify, and assist in implementing efficient and effective recruiting methods and strategies based on position needs, industry best practices, and organizational goals.
- Represent the organization at job fairs and recruitment events to promote opportunities and expand candidate outreach.
- Assist the HR Manager in developing and maintaining a positive, consistent, and welcoming onboarding experience for all new hires.
- Process background checks and verify references for selected candidates to ensure compliance and readiness.
PRINCIPAL OFFICE AND HR ADMINISTRATIVE ACTIVITIES
- Maintain and update the vacation calendar and assist with PTO entry and tracking for payroll.
- Organize, file, and maintain all personnel and HR-related records in compliance with confidentiality standards.
- Keep the personnel directory, organizational charts, and staff photo displays current.
- Update HR spreadsheets, logs, and internal systems as needed.
- File personnel documents weekly to ensure accurate and timely recordkeeping.
- Assist in planning and coordinating HR-related events such as staff appreciation and holiday celebrations.
- Schedule and send electronic cards for staff events, including birthdays, farewells, and milestones.
- Prepare and send COBRA notices; receive and track COBRA payments.
- Perform other HR-related duties and special projects as assigned.
QUALIFICATIONS
- Minimum of 1 year of experience in recruitment or talent acquisition required.
- Minimum of 2 years of HR-related functions preferred.
- Human Resource related certificates a plus.
- Exceptional attention to detail with a demonstrated ability to accurately perform clerical tasks, maintain meticulous records, and manage sensitive documentation with precision.
- Excellent time management with a demonstrated ability to meet deadlines.
- Proficiency in Microsoft Office Suite, especially Excel, Word, and Outlook.
- Familiarity with HR information systems (HRIS) preferred.
- Familiar with Recruiting software (JazzHR) preferred.
- Familiar with Publisher or Canva preferred.
- Strong interpersonal and relationship-building skills.
- Clear and professional verbal and written communication skills.
- Ability to develop and support sourcing strategies for diverse roles.
- Self-starter with strong initiative and problem-solving capabilities.
- Bilingual (English/Spanish) a plus.
